Statement on website privacy

Introduction

This Statement explains the processing and use of data collected through the Physiotools website. By using the Physiotools website you agree to the terms laid out in this document. This website is hosted by Iasy Oy. 

This privacy statement applies ONLY to data provided by you through this website. It does NOT apply to the Physiotools software. 

Physiotools Oy is committed to protecting and respecting your privacy so you can navigate and use our website safely. All personal and other data you provide to us via the Physiotools website will be processed by us in accordance with the European Union’s General Data Protection Regulation (GDPR; 679/2016).

1. Types of personal data

Physiotools may collect and process the following types of personally identifiable information provided by you: 

  • Name (first and surname) 
  • home or work address 
  • email address 
  • telephone number 

We may also collect such information that is not unique to you, such as ZIP code, gender or relevant interests. Physiotools does not collect nor disclose sensitive personal information such as race, religion or political affiliations. 

2. Collection and transmission of personal data

We collect, transmit and process data you provide, for example from: 

  • completed contact us or trial request forms on our website 
  • completed e-newsletter request forms 
  • emails to us 
  • details of any problems you report via our website regarding our service or site 
  • details you give when entering a competition or promotion run by us. 

If you complete a contact us or trial request form or send us an email the data you provide will be stored on the website temporarily. Information from these forms forwarded to us through email is in plain text. 

We will enter this data in our customer relation management and/or helpdesk tools in order to be able to process your request, for fulfilling contractual obligations, such as technical support or to pursue our legitimate interest. 

If you choose to subscribe to our e-newsletter, then the information you provide when completing the form will be forwarded to MailChimp. MailChimp is our provider of email marketing services and is considered a third-party data processor by us.  

3. Site visitation tracking and cookies

Physiotools may capture and store information about your computer (such as your IP address, browser type and access times). 

This information is collected purely for statistical purposes and does not identify you as an individual. We use this data to help us understand our users’ browsing patterns and to shape our marketing. Physiotools uses Google Analytics service as a provider of statistical analysis for our website. In this role it is considered a third-party data processor by us. 

We use cookies which record details of your visits to our site. Cookies are alphanumeric identifiers that are stored on a computer. Cookies cannot be used to run programs or deliver viruses to your computer. They are mainly used for your convenience when, for example, returning to a specific web page. You may choose to decline cookies; however, you might then not be able to fully experience all web site features. 

4. Webshop

Physiotools offers you the possibility to order and pay for our service through our webshop. You need a Mastercard or Visa credit card to do this. MasterCard SecureCode / Verified by Visa are the authentication schemes used to verify your identity as a shopper. When an enrolled card holder begins the shopping process, they are presented with a secure payment page served by the card issuer. The shopper must authenticate through this page and payment will be authorised only after successful authentication. As part of this payment process no credit card information is collected nor stored on the Physiotools website. Physiotools is not set up for recurring payments, i.e. we will never charge your credit card automatically or otherwise without your knowledge.  Physiotools uses Worldpay to host our payment service pages. Shoppers' contact information as well as details regarding the order are stored temporarily on the website. 

5. Use of the data

Physiotools uses the information you provide via our website to improve your experience of our service and deliver the services you have requested. 

 We only use the information you have provided to: 

  • Plan and manage our activities, through researching and analysing your use of the website. 
  • Provide you with requested customer support or with information about new services/products, for example, when you opt into our e-newsletter. 

We do not pass on, sell, rent or lease any personal information provided by you to any third party for marketing purposes. However, Physiotools may transfer trial requests to relevant resellers for local customer support. 

6. Storage and security of your personal data

The data that we collect from you through this website may be transferred to, stored and processed at a destination outside the European Union/EEA. By submitting your personal data you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Statement. 

If you subscribe to our e-newsletter, the information you provide in the form will remain within MailChimp’s database for as long as we continue to use MailChimp’s services for e-marketing or until you specifically request removal from the list. You can do this by unsubscribing using the unsubscribe link contained in all e-newsletters that we send you, or by requesting removal via email. When requesting removal via email, please send your email to us using the email account that is subscribed to the mailing list. 

7. Disclosure of information

Physiotools may disclose your information without notice to third parties only: 

  • If we buy or sell any business or assets, in which case we may disclose your personal data to the seller or buyer of such business or assets. 
  • If we are under duty to disclose or share your personal data to comply with any legal obligation. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction. 

8. Security and data retention

The transfer of information via the Internet is not completely secure. Although we do our best to protect your personal data, we cannot guarantee the security of your data transmitted to and from our website; any transmission is at your own risk. Once we have received your information, we use strict procedures, security features and a secure server environment to prevent unauthorised access and protect your personal data against unlawful processing, destruction, alteration, loss and disclosure. We will retain your information for a reasonable period. 

9. Accuracy of information

You are responsible for informing us when your personal details have changed. Please note that notification of any change must be in writing to data.protection@physiotools.com. It is then our responsibility to update our records accordingly. 

Access to Information and your rights 

The GDPR gives you the right to access information held about you. Your right of access can be exercised in accordance with the GDPR. Any access request may be subject to a reasonable fee to meet our administrative costs in providing you with details of the information we hold about you. Under the GDPR you also have the right of rectification, to be forgotten, to restrict processing and to object.
